Hours:

Standard hours are 9:30am to 5:30pm with flexibility in accordance with the needs of the business.     

Our current working from home policy allows for two days working from home, subject to business need. This policy is subject to change and does not form part of contractual terms.

 

Responsibilities

Working closely with the Community Building (Europe) and CSR (London) Assistant Director, and the London Community Building and CSR Manager, you will be responsible for providing excellent administrative support to the team, the following is illustrative of the typical tasks you will carry out:-

  • Support both internal and external client Community Building/CSR events, including event planning and administration, management of RSVPs and guest data, liaising with in-house design team for materials as well as on-site responsibility for setup registration and attendance at events alongside the rest of the Community Building
  • Responsible for creating check-lists and data/feedback tracking for events
  • Provide support/assistance to our Employee Resource Groups (ERG’s), including attending and taking notes at ERG meetings and events planning;
  • Maintaining the Community Building and CSR budgets and arranging payment of invoices;
  • Maintaining the Community Building Educate and Celebrate annual calendar
  • Assisting with the preparation for meetings and presentations on Community Building and CSR initiatives;
  • Attendance and note taking at relevant meetings
  • Support and assist the Community Building team when conducting external and internal research related to Community Building and CSR issues;Assist with regularly reviewing and updating the Community Building and CSR pages on the website, intranet sites and social media pages;
  • Assist with the collation of information for Community Building updates and liaising with the Communications Manager, Social Media Manager, and other relevant teams to ensure events and initiatives are advertised effectively
  • Assist with fundraising activities in support of the Firm’s fundraising partners;
  • Build and maintain relationships with other relevant specialist teams e.g HR Advisory, Learning and Development, Wellbeing and Benefits, Business Development
  • Assist with ad hoc requests for Community Building and CSR information

Qualifications

Educated to A-Level or equivalent (grades A-C) or at least two years’ experience in an administrative role.

 

Experience, skills and personal attributes:

 

  • Excellent organisational skills with a high level of attention to detail and willingness to take responsibility and ownership for delivery;
  • A positive team player who inspires confidence and is able to deal with changing situations;
  • Ability to use own initiative and be pro-active;
  • Ability to prioritise and multitask;
  • Excellent written and verbal communication skills;
  • IT literate with experience in Microsoft office platforms
  • High level of emotional intelligence
  • Ability to build relationships across all levels of the business
  • Have a strong desire to meet the needs and requirements of both internal and external clients under the pressure of tight deadlines
  • An understanding of the importance of building and maintaining an equitable and Inclusive workplace, and supporting our local communities.
